Better Together Agency uses artificial intelligence to support communications work. People remain responsible for strategy, decisions and final materials.
These practices apply to our client services. A client agreement or statement of work may include additional requirements.
How we use AI
Our team may use approved AI tools for:
- Research and analysis
- Drafting and editing
- Organizing client approved information
- Reviewing content for bias
- Brainstorming
- Administrative and workflow support
AI does not make final strategic decisions. It does not publish content or send external communications without human review.
Human responsibility
People lead our strategy, crisis communications, media relations, creative decisions and client relationships.
A Better Together Agency team member reviews AI-supported work before it reaches a client or the public. This review may include fact checking, source review, editing and comparison with the client’s approved voice and messaging.
Client notice and approval
Routine research, editing, analysis and administrative work through approved tools do not require separate client approval.
We will inform the client and request approval when generative AI plays a substantial role in creating public or client-facing materials.
Clients may request additional AI restrictions for a project. Those restrictions must be included in the client agreement or statement of work.
Confidential information
Better Together Agency accepts confidential client information, when it is, needed to perform the work.
Access is limited to employees, consultants and vendors who need the information and must follow the same confidentiality requirements.
We do not enter confidential client information, personal information, protected health information, financial information or trade secrets into public or unsecured AI systems.
Client information is not used to train public AI models.
Approved tools
Better Together Agency uses AI tools reviewed for their data practices, access controls and business terms. New tools require approval before they may be used for client work.
Our approved tools may include TogetherAI, our private communications platform. TogetherAI is designed for client-specific work with data privacy protections and bias review.
We may change our approved tools as technology, security practices and client needs change.
Accuracy and bias
AI systems can produce errors, omit context and repeat bias found in their training data.
We review AI-supported work for:
- Factual accuracy
- Missing context
- Bias and harmful stereotypes
- Privacy concerns
- Copyright and ownership concerns
- Fit with the client’s audience, voice and goals
Human review reduces risk. It cannot guarantee every output will be free from error or bias. Clients retain final approval over their materials.
Employees, consultants and vendors
Employees, consultants and vendors working on Better Together Agency projects must follow these practices.
They may use approved tools for permitted work. They may not enter confidential client information into public or unsecured AI systems.
Policy updates
Better Together Agency will review these practices as its tools, services and legal requirements change.
Questions about our AI practices may be sent to hello@thebettertogetheragency.com.
